Overview

  1. Navigate to Extracts Pro home page
  2. Select the Action Plans tool from the dropdown menu
  3. Filter and select Action Plans
  4. Organize selected Action Plans
  5. Choose options based on your export needs
  6. Select "Run Extract"
  7. Check progress
  8. Download package

Walk-Through

  1. Navigate to Extracts Pro home page and click on "New+"

Within your Procore account, click on the Apps dropdown menu in the top right corner and select Extracts Pro. On the app homepage, click on "New+" to initiate the extraction process.

  1. Select the Action Plans tool from the dropdown menu

From the dropdown menu, select "Action Plans" from the list. Option to name this extract in the "Untitled Package" field in the top left corner of the page.

  1. Filter and select Action Plans options

Apply filters or use the search bar to search title and description associated with Action Plans. When dataset has been filtered, select the documents to export by clicking the box to the left of the document title.

  1. Organize selected Action Plans

Organize allows users to create a folder structure based on shared characteristics of the Action Plans, like Type or Location.

  1. Choose options based on your export needs
  • Include the Action Plan's attachments in its cover sheet PDF: This is the "Single PDF" option. With this enabled, Action Plans will combine the cover sheet, records, and references into a single PDF (where possible based on file type).
  • Include References: Include or Exclude the Reference items on an Action Plan
  • Inspection Image Attachments: Include thumbnails + full sized images or include thumbnails only
  • Inspection Drawings: Include markup or do not include markup
  • Inspection Observations: Include any Observations linked to Inspections or do not include Observations linked to Inspections
  • Submittals: Include all attachments to a submittal, or only those that were distributed.

  1. Select "Run Extract"

Navigate to the summary section on the right side of the screen and select "Run Extract." The documents will process based on the selected criteria. When "Run Extract" has been selected, a new screen will automatically load showing the name of the package, date created, and status of extract.

  1. Check Progress

The extraction time will vary based on the size of the project. The status of the package can be checked manually by clicking the refresh icon, or an email will be sent once the items have been packaged. The status will appear as "done" when the package is complete.

  1. Download package

The completed package can be downloaded via the Package Log by clicking the download icon or by clicking the download button that is received via email.
