Requirements
- Time Required: about 15 minutes
- Some tasks must be completed by a user with Procore company-level administrative access.
- In general, project-level administrative permissions aren't sufficient.
First Things First
You'll begin by ensuring your Extracts Pro app is fully updated.
- Open Procore.
- From any screen, click Apps in the top right-hand corner of the screen, then App Management.
Don't see App Management? Please contact your Procore company-level administrator to complete this step!
3. Select Extracts Pro from the list of all apps.
- If you don't see Extracts Pro as an available app, you'll need to install it from Procore's App Marketplace.
4. From Extracts Pro's App Management page, you'll see your Extracts Pro app version number.
- If your app is outdated, please update it via the Update App button on the right.
- As of June 2024, Extracts Pro is on version 9.0.0
- IMPORTANT: If you do not see an app version number listed, please uninstall and re-install your Extracts Pro app!
Things to Keep In Mind
At this time, Procore doesn't support automatically updating any app connected to your Procore account. We'll be in touch if app updates are required in the future.
App Management Tabs: Usage, Configurations...
The only setting we encourage changing at this point is the "Configurations" tab. The configurations tab allows you to embed Extracts Pro in Procore, so team members do not have to leave the context of their Procore project to extract Procore data. This simplifies training and drives better adoption, as team members never have to leave their Procore project to use Extracts Pro. Please note that Extracts Pro will work independently of App Configurations: It is the same experience whether viewing extractspro.com or from the embedded Procore app within a Procore project.
There are three types of configurations:
- Per-project: This enables Extracts Pro in the app dropdown on only a small subset of Procore projects that you manually select and keep updated. If this is the case, do not select the Global Projects/Company Level config checkboxes.
- Global Projects: This enables Extracts Pro in the Apps dropdown for all Procore projects
- Company Level: This enables Extracts Pro in the Apps dropdown when navigating at the Company Level in Procore. This does not enable Extracts Pro to be visible at the project level.
If Extracts Pro is your new standard process for extracting Procore data, we recommend creating a "Global Projects" Configuration. The "Title" field will be what your team sees in the Apps Dropdown; we recommend calling the app something descriptive, such as "Extracts Pro - Closeout and Exports" so that teams immediately know what the application does for them.
Once this is complete, you're all set with the Procore side of the Extracts Pro configuration. When someone is in a Procore project and clicks on the Extracts Pro app, they'll automatically be taken to that project in Extracts Pro if it's been licensed.
Extracts Pro Set-Up
From here, we recommend navigating to ExtractsPro.com to resume set-up of the application. Use the login button in the top right hand corner of the screen to get started.
When you first log-in, you may be prompted to create a team. Teams are sub-groups of projects that help to manage large volumes of projects. Feel free to just name it after your company.
You'll also be prompted to select a company to connect Extracts Pro to. If you have multiple Procore companies for your own internal purposes, select them all.
Licensing a Project
From here, you'll want to license a project.
Adding Users
Once you have at least one project with a full license, you'll want to begin adding users. This in-depth how to specifies requirements to add users. Keep in mind - if you're not seeing everyone in the "Add Users" screen, you may need to reach out to Extracts Pro to add additional email domains to your account.
Managing Procore Permissions
If your team has licensed Extracts Pro's Closeout Log, you may see a yellow banner at the top of your screen requesting DMSA permissions after a project has been licensed. DMSA permissions allow Extracts Pro to be kept up-to-date with what's happening in your Procore project, keeping teams from doing double data work.
If you try to enable DMSA permissions on a project, but nothing happens - you probably don't have adequate Procore permissions to enable DMSA access. Your company's Procore administrator may need to be added as a user in Extracts Pro to enable DMSA access on projects.
You're now ready to begin extracting data via Instant Extracts or Closeout Log.
